Job Description

We are seeking a detail-oriented and organized Administrative Assistant to join our team. This entry-level position is ideal for someone looking to gain experience in property management and office administration while working in a fast-paced, professional environment.

Job Responsibilities:

  • Organize, maintain, and update physical and digital filing systems for tenant records, lease agreements, invoices, and other property-related documents.
  • Retrieve and distribute files, reports, and documents as requested by property managers, leasing agents, and other staff.
  • Assist with scanning, photocopying, and filing important records to ensure proper document retention and compliance.
  • Enter and update data in property management software (e.g., Yardi, AppFolio, or similar systems).
  • Answer and direct phone calls, emails, and inquiries from tenants, vendors, and internal staff.
  • Assist with preparing correspondence, notices, and basic reports related to property management operations.
  • Support accounts payable and receivable processes by filing invoices and processing basic documentation.
  • Maintain office supplies inventory and order replacements as needed.
  • Perform general office tasks, such as sorting mail, scheduling meetings, and assisting with administrative projects.
  • Uphold confidentiality and security protocols when handling sensitive documents.

Qualifications:

  • High school diploma or equivalent (Associate’s degree or relevant coursework in business administration is a plus).
  • Prior administrative, clerical, or office experience is preferred but not required.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to multitask and prioritize tasks in a deadline-driven environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
  • Excellent communication and customer service skills.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Experience with property management software (e.g., Yardi, One Cite) is a plus but not required.
