Job Description
Under limited supervision, this role performs routine accounts payable and processing functions following established procedures.
Our Hybrid Work Program:
To create vibrancy and foster collaboration while providing flexibility, we've implemented a hybrid work schedule. You'll work from our Poway office on Monday, Tuesday, Thursday, and every other Wednesday. Fridays and the alternate Wednesdays are spent working from home. Of course, if you prefer to work more hours in the office, that's always an option.
Essential Functions:
Accounts Payable:
1. Perform full cycle of "extremely high volume" Accounts Payable for the US and Canada entities, including invoice entry, 3-way matching, coding, and payment processing (Check, ACH, Wire, Credit Card, intercompany payments).
2. Manage corporate Visa credit card and monthly reconciliation.
3. Manage and reconcile our Amazon Business account on a monthly basis.
4. Set up new vendors in the company database and ensure proper documentation is on file.
5. Prepare annual 1099's and file the 1096.
6. Prepare quarterly tax payments on relevant government websites.
7. Maintain both physical and electronic files for the AP department.
8. Respond to vendor calls and inquiries, ensuring prompt resolution.
General Accounting:
1. Review and release customer orders.
2. Reconcile customer invoices and identify discrepancies.
3. Mail out customer invoices weekly.
4. Participate in month-end and year-end closing processes, including journal entry preparation and balance sheet reconciliations.
5. Prepare expense schedules as requested by the CFO.
6. Collaborate with external auditors during annual audits.
7. Provide necessary documentation and explanations related to financial transactions.
8. Support senior accountants and the finance team as needed.
General:
1. Highly organized, proactive, and detail-oriented.
2. Ability to work effectively in a high-pressure, fast-paced environment.
3. Extensive experience in Excel, utilizing advanced functions (VLOOKUP, PivotTables) for data analysis and reporting.
