Job Title: Business Services Coordinator II

Location: Midland, TX (North Holiday Railroad) with occasional travel to local offices (mileage provided)

Job Type: Full-Time, 1-Year Contract (Potential for Extension)

Schedule: Mon - Fri (5/40)

Airswift is seeking a highly organized and proactive Business Services Coordinator II to support one of our major clients in the OIl & Gas Industry. This role involves coordinating activities, managing administrative tasks, and ensuring smooth communication across departments. The ideal candidate will be self-motivated, detail-oriented, and comfortable working with minimal supervision in a dynamic environment.

Key Responsibilities:

  • Organize and support team activities, meetings, and events.
  • Perform administrative tasks to facilitate the department's initiatives.
  • Coordinate schedules, maintain team calendars, and update the organizational chart.
  • Manage and update Outlook distribution lists and vendor contact information.
  • Administer and maintain the team's SharePoint site.
  • Handle logistics for meetings and events, including venue selection, catering, calendar invites, agenda preparation, sign-in sheets, and records.
  • Order and manage inventory for materials such as signage, posters, and branded items.
  • Provide on-site logistical support during team events.
  • Support cost management through efficient ordering and resource utilization.
  • Undertake additional administrative duties as needed.

Required Skills and Qualifications:

  • Strong written and verbal communication skills.
  • Excellent organizational and time management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with Microsoft SharePoint, EventX, Open Invoice, Chrome River, SurveyMonkey, and Slido.
  • Ability to type 50+ words per minute.
  • Strong initiative and ability to work independently.
  • Event planning skills, including vendor coordination and logistics.
  • Cost-conscious with a track record of resource-efficient planning.
  • Familiarity with venues, caterers, and printing resources in the Permian area is preferred.
