Job Description

A non-profit organization located in New York City is seeking an Executive Assistant to support a lead Vice President for a 6-month temporary engagement. This position offers a fully remote schedule, with an onsite requirement of only 2-3 days in the 6-month period.

The Executive Assistant will provide administrative support to the Vice President as they coordinate across their five departments. Primarily focused on calendaring and email management, the Executive Assistant will intuitively manage scheduling and email communication on the VP's behalf by understanding key internal and external stakeholders, the organizations and the VP's priorities, and being proactive in addressing necessary changes.

Responsibilities:
  • Independently manage VP's calendar, including proactively scanning ahead to resolve conflicts and exercise judgment on appropriate shifts
  • Manage VP's email inbox, elevating items appropriately and reviewing confidential information requiring significant discretion
  • Coordinating administrative support for team and project meetings including scheduling, prepping agendas, sharing notes, and communicating to varied stakeholders across the organization
  • Communicate across multiple teams on action items, proactively providing status updates
  • Manage expense report data entry in Concur
  • Monitor flag NetSuite and DocuSign approvals needed
  • Edit and create team materials Canva
  • Where needed, lead in-person team convening or travel logistics
Qualifications:
  • Minimum 8-10 years relevant work experience supporting executives with large teams in a complex and collaborative organization; preference for some experience in fundraising and/or marketing
  • Experience managing up as a clear communicator with rapid responsiveness
  • Expert knowledge of Outlook scheduling practices and rules
  • Experience with Slack, Concur, DocuSign, and Canva
  • Ability to handle sensitive information, maintain confidentiality, and exercise a high degree of judgment and discretion
