We are currently seeking an Operations Assistant who is energetic and detail-oriented to assist in the daily operations of our corporate office and stores nationwide. You will be an integral member of the retail team, supporting in all aspects of customer service and daily administration of the organization. This role reports to our Director of Retail.

YOUR IMPACT

Store Operations:

  • Supervise the end of month paperwork and packages, including filing and archiving procedures.
  • Manage the charge back procedure, sending all receipts and submissions to accounting/digital; follow up and investigate as needed.
  • Audit all post-voids within the stores and follow up on all issues.
  • Maintain clean customer file by merging duplicates.
  • Compile sales files each month and upload targets.
  • Compile weekly and quarterly newsletters.
  • Assist in inventory management, including running and reviewing reports to analyze movement, stock receiving and inter-store transfers; edit documents as needed.
  • Support in-store during bi-annual inventory counts.
  • Process RTV approvals and ASN exports.
  • Weekly edits on discounted sales report.
  • Process store supply requests and stationary orders, as well as general supply orders for the corporate office.
  • Process and organize damages.
  • Assist with new store openings and retail projects as needed.
  • Act as a liaison for the stores to assist with store operations and issues.

Customer Service & E-shop Support:

  • Log, track, and coordinate all product repairs with clients and tailor.
  • Manage repair supply inventory and request reorders as needed.
  • Ensure timely response and follow-up to all customer service issues and concerns in partnership with our external Customer Service team.
  • Assist with e-commerce as needed.
  • Coordinate requests for e-commerce order corrections (addresses, sizes, cancellation, shortages).

Wholesale Operations:

  • Manage Vilebrequin showroom (presentation, seasonal showroom setups).
  • Organize and manage showroom inventory twice a year.
  • Assist with e-commerce files for department stores.
  • Manage sample sales.
  • Greet and seat clients for appointments.

DESIRED SKILLS AND EXPERIENCE

  • High school diploma or equivalent; college degree preferred
  • Proficiency with Microsoft Office, especially Excel.
  • Meticulous attention to detail.
  • Strong problem solving, time management, and organizational skills.
  • Win-together mentality

ESSENTIAL PHYSICAL REQUIREMENTS

  • Lift and/or move up to approximately 30 pounds -- frequently.
  • Bending/stooping/kneeling required -- frequently.
  • Climbing ladders – occasionally.

OUR COMMITMENT

The compensation for this role is $24 per hour. The rate of pay offered will be dependent upon the candidates’ relevant skills and experience.
