As noted above, this list is intended to reflect the current job but there may be additional essential functions (and certainly non-essential job functions) that are not referenced. • Schedules meetings, books conference rooms, handles catering arrangements, as required
• Submits and codes invoices through invoicing system; handles invoice inquiries and resolves issues
• Assists with Managing Directors’ calendars, as needed
• Processes time and attendance transaction entries, bi-weekly and monthly payroll, and time and attendance reporting, as needed; provides resolution to time and attendance issues and inquiries
• Maintains office supplies for the department
• Handles incoming mail and packages; assists with outgoing mail/packages, as required
• Assists with new-hire onboarding for department
• Receives and distributes anniversary pins
• Handles Skyview visitor registration for Global Engagement; greets and escorts visitors
• Helps plan and coordinate Global Engagement team events (onsite and offsite)
• Collaborates with and provides coverage for the departmental Executive Assistant team
• Submits monthly purchasing card reports; submits expense reports, as required
• Performs other general office and administrative tasks, as required
Minimum Qualifications- Education & Prior Job Experience
• High school diploma or GED (college degree preferred, but not mandatory)
• Previous administrative experience preferred
Skills, Licenses & Certifications
• Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint)
• Must possess excellent interpersonal, organizational, oral and written communication skills
• Ability to maintain a high level of confidentiality and professionalism
• Must be organized
• Ability to partner and collaborate with other executive assistants, staff assistants and team members in a proactive and positive manner
• Must be able to read, write, fluently speak and understand the English language
